What Information Should You Send a Chemical Supplier to Get a Useful Quotation?

The quality of the quotation often starts with the quality of the enquiry

Suppliers can respond quickly to a message that says ‘quote hydrochloric acid’, but the buyer may receive prices for different concentrations, package sizes or delivery bases. Time is then spent clarifying what should have been stated at the beginning.

A short, complete enquiry usually produces a more useful commercial response.

Give the exact product requirement

State the chemical name, grade, concentration or assay and any critical specification. Attach the approved specification where one exists. If technically equivalent alternatives are acceptable, say so and ask the supplier to identify any deviation clearly.

State the quantity

Give the immediate requirement and, where helpful, expected recurring demand. Quantity influences manufacturer minimums, packaging, freight and whether local stocking is practical.

A forecast should be identified as indicative if it is not a firm commitment.

Specify packaging

Tell the supplier whether the site requires bags, drums, IBCs, bulk supply or another format. If several formats are acceptable, request separate options.

This helps procurement see whether packaging changes can improve delivered economics.

Give the delivery location

A quotation to a warehouse in Tema is commercially different from a delivered price to an industrial site elsewhere in Ghana. The supplier needs the final destination to estimate transport properly. Include any important site access limitations for unusual loads or bulk deliveries.

State when the chemical is required

The required date allows the supplier to distinguish a normal planned order from an urgent requirement. Ask for realistic lead time rather than simply demanding immediate delivery.

For imports, it can also be useful to know whether the product is currently in stock or must be manufactured.

Request the documents you actually need

Ask for SDS, technical data, specification and COA information according to the site’s qualification process. Avoid creating a long generic document list that nobody will review.

The objective is enough evidence to evaluate the offered product.

Make comparison easier from the beginning

A good enquiry gives every supplier the same commercial and technical basis. Procurement receives fewer surprises and can compare compliance, delivered cost and lead time more quickly.
