More stock is not always more security

Keeping extra chemical inventory can protect a plant from supply delays, but only if the material remains suitable while it waits to be used. Some products lose active strength, absorb moisture, separate, polymerise, crystallise or become difficult to handle over time.

This creates a balance between continuity and ageing. Procurement should understand that balance before increasing order quantities simply because a larger shipment has a lower freight cost.

Shelf life is product-specific

There is no useful universal shelf life for industrial chemicals. Stable inorganic solids may store well for long periods under suitable conditions, while products such as sodium hypochlorite can lose strength relatively quickly. Storage conditions can be as important as calendar age

A nominal shelf life normally assumes recommended storage. Heat, direct sunlight, moisture, contamination or damaged packaging can shorten usable life. A product stored well may remain in better condition than newer stock that has been mishandled.

Receiving and warehouse teams should record obvious packaging damage and follow the storage conditions identified in the SDS and product documentation.

FIFO is useful, but FEFO can be better

First in, first out is a sensible general warehouse principle. Where batches have explicit expiry or recommended-use dates, first expiry, first out can be more appropriate because the oldest receipt is not always the batch that should be consumed first.

Clear batch labels and accessible storage positions make either system easier. If old stock becomes buried behind new deliveries, the rotation policy exists only on paper.

Order quantity should reflect consumption and lead time

Procurement should estimate how long a shipment will remain on site before it is consumed. If an order represents twelve months of demand but the manufacturer recommends a shorter storage period, the apparent volume saving deserves another look.

Smaller, more frequent deliveries may cost more in freight while reducing ageing, working capital and storage pressure. The best order size balances those effects.

Do not silently use questionable stock

If a product has passed a recommended date, shows unexpected appearance or has been stored outside specified conditions, operations and quality should determine whether it remains acceptable. Procurement or stores should not assume that a sealed container is automatically fit for use. Track ageing as part of inventory visibility

A stock report that shows only quantity misses an important dimension. For products with meaningful shelf-life constraints, batch age and expected consumption date can reveal risk before material becomes obsolete.

This information also improves purchasing. Procurement can reduce the next order, change delivery frequency or work with the supplier on a more suitable replenishment model.

Inventory should protect production, not create waste

The objective is enough stock to cover realistic supply uncertainty without accumulating material the plant cannot use efficiently. That requires consumption data, lead-time data and product knowledge together.

When those three are visible, shelf life becomes a commercial planning tool rather than a date discovered during a warehouse clean-up.
