
Testing the wrong sample gives a precise answer to the wrong question
A laboratory can measure concentration or impurities accurately, but the result only describes the material in the sample bottle. If that bottle is contaminated or not representative of the delivery, the analysis can mislead procurement and operations.
Sampling therefore deserves the same discipline as the test itself.
Define what the sample represents
A sample may represent one drum, one manufacturing batch, a tanker compartment or a bulk tank after transfer. The sampling plan should match the decision the site intends to make.
If several batches arrive together, combining them into one unidentified sample can hide a problem in an individual lot.
Use suitable sampling equipment
Sample containers and tools should be clean and compatible with the chemical. Residual water, metal contamination or traces of another product can alter results, especially for high-purity or reactive materials. Product name, supplier, batch or lot, delivery reference, date and sampling point should be recorded while the sample is being taken.
A perfect sample with uncertain identity has little value during a later investigation.

Settling solids, stratification or incomplete mixing can make one location unrepresentative of the whole container or tank. The sampling method should account for the physical behaviour of the product.
Suppliers can provide guidance, but the customer should align the method with its own quality system.
Retained samples can support investigations
For critical chemicals, keeping an appropriately stored retention sample from accepted batches may help if a later process problem is suspected to be supply-related.
The retention period and storage method should be defined according to product stability and the site’s quality requirements.
Sampling supports fair supplier management
Objective, traceable samples protect both customer and supplier. If a batch is challenged, both parties have a clearer basis for investigation than memory or photographs alone.
