Confirm product identity first
Check the product name, grade or concentration against the purchase order and delivery documents. Check quantity and packaging
Count bags, drums or IBCs and compare them with the delivery note. For bulk deliveries, follow the site’s approved quantity verification method.
Look for torn bags, leaking containers, broken seals, damaged pallets, swelling, corrosion or other abnormal conditions. Photographing significant damage at receipt creates useful evidence for supplier discussions.
Match batch information and documents
Where batch traceability is required, compare lot or batch numbers on the containers with the COA and delivery paperwork. Confirm that the SDS and other required documents are already available.
A generic COA that does not correspond to the delivered batch should not automatically be treated as batch evidence.
Check labels before material disappears into the warehouse
Labels should be legible and appropriate to the product. Missing or damaged identification creates unnecessary risk for stores and users.

Know which issues require quarantine
Stores personnel should not be expected to make technical acceptance decisions outside their authority.
